Greenhouse Notetaker Terms meter the new AI notetaker in usage credits and recording minutes

Greenhouse Notetaker shipped in mid-July 2026 and is governed by Greenhouse Notetaker Terms dated 31 July 2026, which meter it in usage credits, recording-minute limits and separately purchasable extended retention rather than folding it into the subscription tier.

Before

On 23 April 2026 the Core plan card listed Sourcing and CRM, structured interview kits and scorecards, scheduling, reporting and analytics, SSO and Real Talent Talent Matching. There was no Notetaker line on any tier, and no Notetaker-specific terms document existed in the terms index archived that day.

After

The Core plan card now lists AI Notetaker among its inclusions with no capacity figure attached, and Greenhouse Notetaker Terms dated 31 July 2026 subject the product to usage credits, recording-minute limits, or other restrictions set forth in the customer’s product settings or an applicable Order Form. Extended recording-retention periods are separately purchasable, and on overage Greenhouse may require the customer to purchase additional credits or capacity before further use.

Greenhouse’s 10 June 2026 AI roadmap release scheduled Greenhouse Notetaker for mid-July 2026, alongside an Analytics Chart Agent, AI Report Insights, a Job Kickoff Agent and a Candidate Insights Agent. Greenhouse Notetaker Terms, dated “Last Updated: July 31, 2026”, now govern the product. Neither this document nor the Voice AI Terms appear in the Greenhouse terms index archived on 23 April 2026.

The terms make Notetaker Greenhouse’s second published consumption meter, after Sourcing Automation lookups. Use is subject to “usage credits, recording-minute limits, or other restrictions set forth in Customer’s product settings or an applicable Order Form”. Recording retention is governed by its own settings, separate from the general customer-data retention settings, with maximum limits set by Greenhouse and extended retention periods available for purchase. On overage, “Greenhouse may require Customer to purchase additional credits or capacity before further use” — a capacity gate rather than an overage invoice. Where an Order Form limit conflicts with the general fair-usage language in the AI Terms, the Order Form controls.

The pricing page moved too. The Internet Archive capture of 23 April 2026 shows a Core card with six inclusions and no Notetaker line anywhere on the page; the 10 September 2026 capture shows “AI Notetaker” listed in Core between structured interview kits and scheduling. The intervening Wayback captures of greenhouse.com/pricing on 20 May, 25 June, 28 July and 6 August 2026 are all JavaScript skeletons of roughly 900 words with no plan content, so the addition can only be bounded between 23 April and 10 September 2026 rather than dated.

That is the pattern across Greenhouse’s whole AI surface: the headline feature is listed inside a tier on the pricing page, while the actual capacity that makes it usable is negotiated on the Order Form and published nowhere. Notetaker appears as an included Core-tier line item on greenhouse.com/pricing with no number attached to it.
